Overview

CitiX is a full-service visa platform that unifies application submission, document review, payment tracking, and admin oversight — built for travelers, agents, and enterprises.

The Challenge

Visa applications are broken — for everyone. The traditional visa process is fragmented, opaque, and document-heavy. Applicants are left guessing, agents are overwhelmed, and admins lack the tools to manage operations efficiently.

Fragmented Systems - Multiple disconnected tools create data silos and increase errors across the application flow.
Zero Transparency - Applicants have no real-time visibility into where their application stands or why delays occur.
Document Chaos - Uploading, reviewing, and rejecting documents is manual, slow, and error-prone without a structured flow.
Unclear Finances - Agents struggle to track commissions; admins can't reconcile payments or flag discrepancies easily.

Design Process

A structured three-phase process ensured every decision was grounded in user needs and system thinking — not assumptions.

Research & Discovery

Studied existing visa processes, identified gaps in transparency and tracking. Analyzed competing platforms and financial dashboard patterns to inform the system's architecture.

Information Architecture

Structured the platform into modular sections: Dashboard, Applications, Documents, Payments, Wallet, Analytics, and Settings — each independent yet logically interconnected.

UI Design & Prototyping

Built a scalable design system with consistent card patterns, color-coded status indicators, clear empty states, and low cognitive load across all user flows.

A structured three-phase process ensured every decision was grounded in user needs and system thinking — not assumptions.

Guided Application Experience

A multi-step form with a persistent progress indicator walks applicants through each requirement without cognitive overload. A "Review & Submit" gate before payment reduces costly submission errors.

Impact: Studied existing visa processes, identified gaps in transparency and tracking. Analyzed competing platforms and financial dashboard patterns to inform the system's architecture.

Real-Time Application Tracking

A clear 4-stage status flow — Submitted → Documents Under Review → Embassy Processing → Decision — with contextual messaging at each step keeps applicants informed and reduces anxiety-driven support requests.

Impact: Increased user trust significantly and reduced inbound support inquiries about application status.

Document Review System

A centralized document list with live status tracking — Upload, Under Review, Approved, or Rejected. Admins can preview, approve, or decline with structured feedback, closing the communication loop.

Impact: Improved document accuracy and eliminated repetitive back-and-forth between applicants and reviewers.

Admin Financial Control

Full transaction visibility across all user roles with powerful filters by role, payment type, and status. Supports refunds, reconciliation, and manual entries — giving admins complete financial governance.

Impact: Enabled operational transparency and full financial accountability across all user tiers.

Analytics Dashboard

A comprehensive analytics module tracks application trends, revenue patterns, user segmentation, and agent performance — giving administrators the data to make informed operational decisions.

Impact: Moved admin decision-making from intuition to data, unlocking scalable operational intelligence.

Outcomes & Impact

The platform was built not just to solve today's problems — but to grow with the business, handling increasing users, applications, and complexity without breaking.

Higher Completion Rates

Guided flows, progress indicators, and review gates significantly reduced incomplete and erroneous submissions from applicants.

Information Architecture

Structured workflows for document review, user management, and financial oversight cut down on manual effort and operational errors.

UI Design & Prototyping

Agents and admins now operate with full transparency over payments, commissions, and wallet balances — no more ambiguity in financial flows.

What I Learned

CitiX was as much a lesson in system design as it was in interface design. The complexity of multi-role platforms demands clarity at every level.

Multi-role systems require system thinking first, UI second.

Designing for four different users means understanding how their data and needs intersect before touching a single screen.

Financial UX must be brutally clear.

Any ambiguity around money — credits, debits, balances, commissions — erodes trust instantly. Precision matters more than aesthetics here.

Transparency is the product.

In high-stakes, high-trust contexts like visa processing, every status update, every loading state, and every error message is a trust signal.

Simplicity often requires complex thinking behind the scenes.

The cleanest interfaces are rarely the easiest to design — they demand the most deliberate information architecture decisions.
